Minutes for July 13, 2003

Acting Seneschal, THL Ailith Mackintosh, called the meeting to order at 2:10 at the home of Lord Hugh the Silent and THL Francesca de Onorati.

1. Ailith displayed the device with which the baronial heraldry conflicted. There was general discussion concerning the points of difference.

2. Section 7 of the proposed charter was discussed and rewritten. The section now reads:

SECTION SEVEN: It is recognized that as our community grows and develops, circumstances may warrant changes to this charter. Be it enacted, therefore, that changes can be brought up for discussion and possible action at Baronial meetings at which the Baron and/or Baroness are present. In such instances, changes to the charter will be made by the Baron and Baroness with consensus from the seneschals of the participating groups and the baronial officers as representatives of the populace. Be it further enacted that a complete review of the Charter is required upon the succession to the Baronial seat by a new Baron and Baroness.

As there was no further discussion over the entire document, it was deemed finished. The completed charter will be posted to the baronial web page, appear in the newsletter and be made available to the populace.

3. The financial policy for the proposed baron was reviewed. There were no additions or changes made to the document. It will be posted to the baronial web site, appear in the newsletter and be made available to the populace.

4. The FAQ document was reviewed. Any changes or additions are to be sent to Ailith. Maistor Iustinos, Lady Milica and Master Ian Gordon commended Ailith as author of the document.

5. Ailith has been in contact with the Group Transition Deputy. The plans for the poll are as follows: The poll will be sent out October 1st. The deadline to return the poll will be October 31st. The poll will be sent to any paid member with in the borders of the proposed barony. Those paid members who play in a group within the borders may request a poll, but their vote will be counted on the whim of Their Royal Majesties. Tallying the results should take about two weeks.

Hopefully the results should be announced by the middle of November. Ailith hopes to have a meeting with Mistress Rosamund and Master Charles, as the incoming Kingdom Seneschal, at Pennsic to clarify matters.

6. Ailith is working on the wording of the poll. Draft copies will be sent to the group lists and to the seneschals of the participating group. Any additions or changes should be sent to Ailith.

7. There will be a Baronial Get Together at Pennsic on Monday August 11 from 8-10 pm in A/S Tent #1. Packets containing the charter, financial policy, letters of intent from the candidates and a draft wording of the poll will be available at this meeting.

8. The Portcullis, the baronial newsletter, containing the the information from the above packet, will be sent to everyone for whom an address is known. The four seneschals are requested to send contact information for their group's membership to the Lord Gregor MacHugh, as acting baronial chronicler.

9. There will be a Craftsman's Faire and Baronial Auction at Alderford's event, Winding Down from War, on September 27th. THL Saradwen will coordinate the Faire by announcing it on the Gatehouse every two weeks, publishing information on the baronial web site, and by contacting the MOAS of each group to work out details.

10. Ailith proposed having a Barony sponsored Clothing Drive for the Medina County Achievement Center. Government funding for clothing allowance has been cut and there is great need by the clients for clothes. Clean usable clothing and money for underwear will be collected by Ailith and then presented to the facility. Seneschals were asked to pass along the information to the local groups.

11. There was discussion about Columbiana County. It was proposed not to list in the Baronial Charter as Rivenvale has plans to claim it. It was decided that the county would be removed from the list of counties making up the proposed barony.

12. Support for Rivenvale's event, Saxon Summer, on September 6-7 was encouraged. It was proposed that all seneschals encourage their members to attend other shire's events. Another suggestion was to send representatives to other groups to publicize events and to take reservations.

13. The baronial candidates visited Alderford on July 8th. They will go to Gwyntarian's meeting on July 17th and visit Three Towers on July 22nd. As there are no regular meetings being held for Thistle, a special meeting will be arranged.

14. Question regarding the poll: If Thistle votes not to be part of the barony, will they be able to deadlock the barony by their vote since they claim Wayne and Medina County, which would divide Brendoken if removed? The charter lists Holmes County as part of the proposed barony. This county is south of Wayne County (Thistle) and will maintain the border of Brendoken without Medina and Wayne Counties. (Thistle), so in all likelihood, no. However, this will have to be discussed with the kingdom seneschal.

OFFICERS:
Pursuivant -THL Katarina Peregrine has done 2 Kingdom courts and sent in her report. She has received reports from all four groups in the Brendoken.

Knights Marshal- Lord Alexander plans a September practice at his home. He mentioned to keep an eye out for last minute changes in the rules for siege weapons used at Pennsic War this year.

Chronicler- Gregor needs addresses for the major mailing planned. Extra copies will be given to each seneschal to handout to those whose address Gregor does not have. There was a discussion about saving money by checking off the names of those people who could receive the Portcullis by hand rather than by mail. It was agreed that mailing the newsletter would be easier to track.

Exchequer- Lady Genovefa reported that the proposed barony has $1114.63 in its account which is being held in sponsorship by the Marche of Alderford.

MoAS- Saradwen reviewed the information concerning the Craftsman's Faire. She still needs reports from Three Towers and Thistle in order to do her report. She requested the MOAS get in touch with her.

Chatelaine-Francesca is now the acting chatelaine. She has contacted her superiors concerning the change in office.

GROUPS:
Alderford- Oaken Melee School was held July 12th. There was lots of fighting. Giles, from 3 Towers, helped with Rapier authorization. Gordon and Arwenna, from Gwyntarian, conducted the archery range. There was a thrown weapons range. The group is readying for the event Winding Down from War on September 27th. 6 members of Alderford are teaching classes at Pennsic. On Sunday, September 21st, Louisville has a Constitution Parade. Last year, Alderford walked in the parade and received 1st prize in the Novelty category. Everyone was invited to participate in this year's parade.

Gwyntarian-There is to be a Mongol theme event, Muscovites and Mongols, on October 18th. The large Ohio Mart demo is the first weekend in September. Katarina asked everyone to participate at this demo. Last year there were 110 SCA volunteers. There will be more room, and food will be catered by an excellent mexican restaurant.

Three Towers-They will have a War 1066 The Battle of Hastings event on October 10-12. It is a primitive site so cooking will be simple. Archers will be able to shoot from the river as was done in the original battle.

Thistle- The group is not meeting regularly during the summer. Ailith will arrange a meeting for the baronial candidates to visit the group.
